SHOPLINE POS can do more than process sales in a retail store. It also lets you integrate transaction records, customer, inventory, and sales information into the same backend system as your e-Commerce store. 

In this article, you'll find:

 

1. Add a product to cart

Step 1. Go to the checkout tab

Select Checkout from the menu on the left.

Step 2. Add the product into cart

There are four ways for staff members to add products to the cart:

1. Tap the product

Tap the product to add it to the cart. The product will appear in the cart on the right.

  • If a product has multiple variations, you have to select its variations before adding it to the cart. For example, select a size, fabric, or color for clothing.

2. Scan the product barcode

Scan the product barcode, and the product will appear in the cart on the right.

*Note: If the barcode is a member barcode or other non-product barcode, a prompt reminder will pop up showing "The barcode does not correspond to the product" (This feature is only available to Android users).

  • If it is a member barcode, tap Search Customer to access the member information.
  • If it is a valid coupon barcode, tap Apply Promotion to apply the discount.android_wrongproductcode.png
     

3. Enter the product name, barcode, or SKU in the search bar

Enter the product name, barcode, or SKU in the search bar to quickly find and add products to the cart.

  • A product will not be added to the cart when you scan its barcode in the search bar. The product will instead appear in the search result window.

  • To add products to the shopping cart, tap Cancel to return to the checkout window and scan the barcode.

4. Filter by product category/supplier

You can filter products by "Category" or "Supplier". Tap the left menu to switch the filter type (the default is "Category").

  • The first 20 category/supplier options are displayed by default. Tap More to open the "All Categories / Suppliers" pop-up window to view all options.

*Notes: 

  • The product price will be displayed in the following order. When a price for the previous rank is not set, the next-ranked price will be displayed, and so on.
    • Product price display order: Store-Specific Price > Retail Store Price > Sale Price > Regular Price.
    • If you enable the "Member price and Tier member price shown on POS App product related pages" feature, please refer to the "Member Price and Membership Tier Price" section below.
  • Once the product is added to the cart, the SKU will be displayed for easy product verification. The SKU is displayed before the variant name (including the child product in the product set). If no SKU is provided, it will not be displayed.

Step 3. Edit quantity and price

Tap an item in the shopping cart, and a pop-up window will appear to adjust the quantity and set whether to give discounts to the specified product. Please refer to 3. Apply discounts below for more details.

To delete a product in the shopping cart, swipe the item to the left and tap Delete.

2. Product display settings

i. Hide product image 

The "Hide product image" feature allows you to switch the product list to a text-only display. You can find the "Hide product image" toggle in POS app > [Settings] > [Product].

*Note: Your preference is saved when you switch stores, log in/out, or restart the app. The setting will revert to the default (images displayed) if the app is uninstalled and reinstalled.

A. On (green): The product list will only display product names without images.

B. Off (default): The product list will display product images.

ii. Customize the product image view 

You can tap the  IMG_1755 (1).JPG  icon above the product list to switch between "Grid View" and "List View".

A. Grid View (Default): Products are displayed in a grid to highlight product images.

B. List View: Products are displayed in a list to prioritize product text information. To hide product images, you can enable the "Hide Product Image" feature.

iii. Customize product text size 

Go to POS App > [Settings] > [Product] and find the "Product Text Size" setting. You can adjust the text size of the product name as needed to make it easier for staff to view during checkout.

The following are the 4 text sizes and their display proportions in the product list:

Smallest (12px)

*This is the default size.

3. Apply discounts 

i. Apply discounts to a particular product 

Tap on the product in the cart and select Add discount.

There are 3 discount types:

  • Custom: It will display the discount offers created in [Retail Store] > [Discount Options] in the Admin. Please refer to Custom Discount | POS Admin for details.

  • % OFF: When applying a percentage discount, you need to enter the remaining percentage, not the discount amount. For example, for a 20% off discount, please enter "80." Please refer to Add Discount | POS App for more details.

  • Cash: Enter the discount name and discount amount.

After confirming the discount amount, the cart will show the product's original price, sale price, and the discount campaign's name.

ii. Apply discounts to the entire order

To apply a discount to the entire order, tap the "+" icon next to "Order Discount" below the "Subtotal". The discount settings are the same as instructed above.

*Note: You can apply up to 5 order discounts per order.

4. Add/select customer information 

Tap Add customer in the cart to create a new customer profile or search for an existing one.

  • To create new customer information, please refer to: How to Add Customer | POS app.
  • You can search for an existing customer profile using the customer's name, email, or phone number. You can also search by scanning the member barcode with the Shopper App enabled.

To remove or reselect a customer, swipe left on the customer record in the cart, then tap Delete.

*Note: If you do not add the customer to the order on the app, the "Order Account" will be left blank in the order details section in SHOPLINE Admin > [Order Management] > [Order] > POS tab.

Tap View details to view more detailed information about the member. The member information displayed here is the same as the data in POS app > [Customer]. For more details about member information, please refer to Search and Edit Customer Information | POS App.

*Note: The new member information is only available for merchants using the POS app on iOS v.1.96.0 or Android v1.47.0 or above.

Member Price and Membership Tier Price

In the SHOPLINE Admin, go to [Settings] > [Product Settings] > [POS]. Switch on the toggle for "Set Store-Specific Prices for products". When you add a customer during checkout on the POS app, the product price will prioritize displaying the "Membership Tier Price and Member Price" (Membership Tier Price > Member Price).

Example:

The product "Roman Camomile Essential Oil" has the following prices set:

  • Regular Price: $590
  • Member Price: $570
  • Membership Tier Price - VIP: $550

When you add a VIP member during checkout, the product will be priced at the VIP price of $550.

*Note: The strikethrough price will not be displayed if the original price is not set in the Admin, is set to 0, or is the same as the product price.

Display Customer Tags

You can choose whether to display customer tags in the cart. Go to POS App > [Settings] > [Cart] and switch on/off the toggle for "Display Customer Tags".

A. On (default): Customer tags and notes are displayed in the cart.

B. Off: Customer tags and notes are hidden. Only the membership tier and info are displayed.

5. Cart and checkout (Select payment options) 

i. Cart

Display unit price and total items in the cart 

  • The total items will be displayed at the top of the cart. 

  • The following will be displayed below the product name: item count × unit price (strikethrough price = unit original price).

Cart details 

  • Cart details are collapsed by default and will expand automatically once products are added. If you manually expand the details, they will remain expanded until you collapse them again.

  • The green button at the bottom right will display the "Total Products/Total Items/Total Amount". Staff can verify the details with the customer and tap the button to proceed to payment.

The cart details section will display the following:

*Subtotal Always displayed.
Discount Only displayed if a discount is applied.
Coupon Only displayed if a coupon is applied.
*Order Discount Always displayed.
Applied Store Credits Only displayed for members when "POS Credit Redemption" is enabled.
Applied Point Discount Only displayed for members when "Point Redeem to Cash" is enabled.
Taxes Only displayed for merchants using Android POS with tax settings set up in the Admin.
Rounding  Only displayed for merchants in Hong Kong, Singapore, or Malaysia who have enabled "Apply Rounding Mechanism to Checkout Total Amount" in the Admin.

 

ii. Checkout (Select payment options)

A. General payment options

Once the products are added to the cart, tap the green button at the bottom of the cart to begin the payment process.

You will then see the following fields on the right-hand side: 

  • Sales: The staff member making the sale. Tap the three dots on the right and enter the employee's password to select another on-shift employee.
  • Tax ID No.: Tap Input Tax ID to enter if needed. 
  • Payment: Choose between cash, credit card, or any custom payment types you have previously added. Customers can pay using up to 5 different payment types.

Sales checkout process 

  1. Tap the salesperson's name (the three dots on the right).

  1. A list of on-shift employees will appear.

  1. Tap an employee's name and enter their password.
  2. If correct: The pop-up will close and switch to that employee.
  3. If incorrect: The password field will clear automatically for re-entry.

 

Operation steps for selecting one or multiple payment options:

1. If the customer uses one payment method, after selecting the payment method, the amount payable will appear next to the selected payment option. Tap the amount field (shown in the red box) to enter the actual amount paid by the customer, and tap the green "Checkout" button below to complete the checkout process.

For example, if the customer pays a $500 bill, the staff can enter "500" next to "Cash". The changed amount of $75 will appear at the bottom.

2. If the customer wants to pay in more than two ways, the staff can tap the first payment method and then tap the Add Payment button to add the rest of the payment options.

In the example below, the staff first selects "Cash" as the initial payment option to pay $100 of a $325 subtotal, then taps Add Payment and select "Credit card" for the second payment method to settle the $325 remainder. Tap Checkout to complete the process.

B. SHOPLINE Payments POS payment options

*Note: This feature currently only supports Hong Kong and Taiwan merchants.

You can select the SHOPLINE Payments options that have been added in the store Admin on the POS app.

 

C. Multi-payment options

*Note: This feature is only available for merchants using the POS app iOS v.1.50.0 or Android v1.28.0, and above.

You can use both SHOPLINE Payments options and general payment options simultaneously during checkout. After selecting the first payment option and edit the amount payable, you can add another payment option right away. In the same order, you can choose the following payment combinations:

  • 1 SHOPLINE Payments option+ 1 ~ 4 general payment options (5 payment options in total)
  • 1 ~ 5 general payment options (5 payment options in total)

6. Add order remarks

Tap the icon below "Note" to add order remarks for internal use quickly.

  • The staff can choose to use an existing quick note template or add a new one.
