Merchants can create different promotional campaigns with discount incentives to maximize their sales and profit. Store Credits can be given to members when it is their birthday and invite your members to use the credits when they are shopping in your store.
1. Set Up Birthday Credits
Step 1. Confirm your plan
In the upper right corner of the store backstage, go to [Hello, OOO] > [My Subscription & Billing] to view the store's plans and modules.
- If you see the screen below, there are "Paid" and "Module" in the "Plan Subscription" section. Please confirm whether your store has a "CRM - Credits" module. If so, you can go to Step 2 to set it up.
- If you are using the Basic, Advanced, Premium, O2O, or Enterprise plan (as shown below). Please confirm whether your store is using Premium/ O2O/ Enterprise plan.
Step 2. Set Birthday Credits
In SHOPLINE Admin, go to [Customer Management] > [Store Credits]. Turn on the toggle button for birthday credits.
Once enabled, you can set up the credit amount and validity period for birthday credits. If there is no validity period and the credits will not expire, please check the box for "Never Expires."
Setting Birthday Credit Sending Date
The Birthday Credits Sending Date can be set in the "Birthday Credits" section. The sending date is the birthday date by default. You can also change it to the 1st of the birthday month.
*Note: If you change the sending setup from "Send on the birthday date" to "Send on the 1st of birthday month," please be sure to complete it early on the last day of that month to avoid some customers not receiving birthday credits.
For example, if you wish to change the setup to "Send on the 1st of birthday month" in May, you will have to complete the setup by the morning of April 30st.
To change the birthday format, go to [Settings] > [Customer Settings] and edit "Birthday Format."
Below are the notes on the birthday format:
- Three options are available for the birthday format, with YYYY/MM/DD as the default.
- The "Age Limit" box is only available when selecting YYYY/MM/DD or YYYY/MM (including the birth year). The rule for the age limit is as follows: Subtract the age limit you set from the YYYY/MM format when customers enter their birthdates.
For example, if the age limit is set to 13 and a customer enters his birthdate as 2023/02, the system will subtract 13 years from the date (2023 - 13), resulting in 2010/02. Therefore, the customer can only enter a birthdate before 2010/02. - When the birthday format is set to YYYY/MM, you cannot select "Send on the birthdate" in Birthday Credit Sending Date.
- When selecting YYYY/MM, a notification will pop up to remind you that the sending date of birthday credits will be adjusted to the 1st day of the birthday month onwards.

If you change the birthday format to MM/DD (without the birth year), the system will not be able to capture the age of new customers since they cannot enter their birth year. In [Report & Analytics] > [Shoplytics] > [Customers] > [Customer Overview], the "Customer Age" chart will only show the age information of the existing customers who have entered birth year (either YYYY/MM/DD or YYYY/MM) before you change the birth format. For more information about the "Customer Age" chart, please refer to this article.
If you select YYYY/MM as the birthday format, the system will check whether the time interval between the current date and the previous credit sending date is greater than 1 year. If the interval is less than 1 year, the credits will not be sent. We recommend avoiding frequent edits to the birthday or credit sending date to ensure a smooth credit assignment.
- Example on editing customers' birthday: A customer's birthday is 20 March and has received credits on 1 March 2022. If the customer's birthday is changed to 20 February, he will not be eligible for the credit on 1 February 2023. However, he will become eligible again for the birthday credits again on 1 February 2024.
- Example on editing birthday credits sending date: A customer's birthday is 20 March. By setting the sending date to the birthdate, the customer will receive credits on his birthday (20 March 2022). However, if you adjust the sending date to 1 May 2022 and set it to the 1st date of the birthday month, the customer will receive the birthday credits on 1 March 2023.
*Note:
- Once the birthday credit has been set, the system will check the customer lists of the store from the early morning of the day and send birthday credits to the member whose birthday is on that day (i.e., The system starts checking on July 1 midnight, members whose birthday is on July 1 will receive birthday credits).
- When setting up birthday credits, make sure the birthday fields are set to be included in the Checkout Form/ Signup Form/ User Profile for members to fill in their birthday. You can activate these fields in [Settings] > [Customer Settings]. You can decide whether you want to make these fields as required. The field will appear on the pages as long as you check the boxes for "Include?".
2. Set Up Birthday Credit by Tiers
You could also set up birthday credits by membership tiers. By offering exclusive benefits, customers would be encouraged to repurchase to get into the higher tier as well as increase customer loyalty.
*Notes:
- This feature is available for merchants using the Enterprise / O2O plans.
- This feature is only available for merchants with both "CRM - Membership" and "CRM - Credits" modules.
If you want to upgrade your shop to "O2O/ Enterprise" plans, please proceed to SHOPLINE Admin > [Apps] > [Apps Store] and install the "Set Up Credit by Tiers" feature.
Step 1. Go to membership tiers settings
Go to [Customers Management] > [Membership Tier]. Click More Action next to the tier you want to set up, then click Edit, and scroll down to the "Birthday Credits" section.
Step 2. Turn on the feature tab
Turn on the toggle button for Birthday Credits and set up the credit amount and validity period for birthday credits. If there is no validity period and the credits will not expire, check the box for "Never Expires".
3. Notes
- Once the birthday credit has been set, the system will refer to the customer lists of the store in the early morning of the day and send birthday credits to the member with the corresponding birth date.
- When setting up birthday credits, make sure the birthday fields are enabled in the Checkout Form/ Signup Form/ User Profile for members to fill in. These fields can be enabled in [Settings] > [Customer Settings]. You can decide whether you want to make these fields required or optional. The field will appear on the pages as long as you check the boxes for "Include".
- As long as the Birthday Credits toggle from [Customer Management] > [Store Credits] has been turned on, it will apply to every membership tier.
- When setting up birthday credits by tiers, it would replace the number of birthday credits set from the [Customer Management] > [Store Credits] section, regardless of whether the credit amount is lower or higher.
- If the toggle from the [Customer Management] > [Store Credits] section is OFF but the toggle in the membership tier is ON, customers that belong to membership tiers will still receive credits.
- The setting record would be in [Customer Management] > [Membership Tier] > Logs instead of [Customer Management] > [Store Credits].
- If the staff has access right to the Store Credits page but not Membership Tier Settings, they cannot set up birthday credits by tiers.
- If the staff has access right to Membership Tier Settings but not the Store Credits page, they can set up birthday credits by tiers.
- If a store is closed when Birthday Credits are sent out at the beginning of each day, the system will not automatically send out these Birthday Credits.
- Customers will receive an email notification for the birthday credit on the day at 09:00 a.m. (UTC + 8). If the SMS notification feature is enabled, customers will also receive a notification via SMS.
[Coming Soon] You can go to [Settings] > [Custom Notification] > [Membership Upgrade Notification] to customize the notification sending time to any time point (i.e. 00:00, 01:00, 02:00, etc.) between 00:00-23:00 (UTC + 8). The setup will take effect the day after you save it.*Note:
- Email notifications will only be sent to customers who "have provided an email address AND selected to subscribe to emails."

If the SMS feature is enabled, SHOPLINE will charge you a monthly fee for sending SMS. Please go to Admin > [Settings] > [Custom Notification] to enable/disable the SMS feature. For details on the feature please read Custom Notification.
- Sending birthday store credits to each member is limited to only once a year.
- If you set the sending date to birthdate, the system will automatically check the sending history. If birthday credits have already been sent within the past 366 days, no additional credits will be sent to avoid duplication.
