Specified Delivery Date and Timeslot

SHOPLINE has launched the "Specified Delivery Date and Timeslot" feature to ensure the quantity of orders received is maintained within capacity. This will allow customers to receive their orders on time and avoid overselling or the excessive preparation time resulting in deliveries not being carried out on time.

*Note: This feature only applies to "Custom" and "Store Pick-up" deliveries. 

This article will cover the following: 

 

1. Setup

Step 1

Proceed to SHOPLINE Admin > [Settings] > [Delivery Options] and click Add. Screen_Shot_2022-05-12_at_7.23.00_PM.png

 

Step 2

Select a delivery type in the "Delivery type" drop-down menu. 

*Note: The "Specified delivery date and timeslot" feature only applies to "Custom" and "Store Pick-up" deliveries.

Step 3

Switch on the "Set up delivery date and timeslot" toggle to start editing. 

"Specified Delivery Date and Timeslot" is categorized into 3 types: 

  • Specified Delivery Date Only 
  • Specified Delivery Timeslot Only (Unable to set order limit)
  • Specified Delivery Date and Timeslot

A. Specified Delivery Date Only 

  1. Check the applicable weekdays in the "Week of Day" field.
  2. Set the maximum number of orders in the"Order limit" field (must be greater than 1) or select "Unlimited".
  3. If specific dates need to be excluded, for example, logistics services day off, you can set that up in the "Exclude Dates" field above.

Other adjustable values:

  • Order limit: 
    • When the number of orders that can be received is set as "Unlimited", the system will not limit the maximum number of orders to be received.
    • If there is a limit, the system will count the number of orders received on that date. Customers are not allowed to choose a specific date if the number of available orders for that date is full during order placement.
  • Selectable day length (from lead time):
    • If there is no set limit on the number of orders that can be received: There will be no set limit on the number of days.
    • If there is a set limit on the number of orders for any delivery date/timeslot that can be received: only a maximum of 90 days can be set.

*Note: 

  • "Specified Delivery Date Only" is a required field by default
  • As long as there is a setting on any day, it will be regarded that there is a set limit on the number of orders that can be received.

B. Specified Delivery Timeslot Only (Unable to set available order quantity)

  1. Enter the timeslot to be displayed for each option in the "Add Timeslot" field, and click Add.
  2. Click Edit Language to set different language displays. 

*Note

  • The maximum number of options is 50.
  • Each option is limited to 40 characters.
  • "Specified Delivery Timeslot" is a required field by default.

After filling in the language information to be displayed, click Update at the lower right corner.

*Note: When you click to delete a timeslot, a confirmation window will pop up.

  • To adjust the text, please click 9__________________.png to adjust with the "Edit" function. 
  • If you delete and then add the same timeslot, it will still be regarded as a new timeslot, and the old timeslot will not appear in the order filtering conditions.

C. Specified Delivery Date and Timeslot

  1. In "Add timeslot", set the timeslot name, such as "Morning".
  2. Set the maximum number of orders in the "Order Limit" field (must be greater than 1) or check "Unlimited", and click Add.
  3. The added timeslot will appear below, and the applicable weekdays can be checked or unchecked.
  4. Click the order limit below to adjust the order limit for this timeslot.

For other adjustable values, please refer to "Specified Delivery Date Only".

  • There is a limit of 50 options.
  • Each option is limited to 40 characters.

Switching settings

When the "Specified delivery date and timeslot" type is switched:

  • If the main toggle for the "Set up delivery date and timeslot" is turned off, the set delivery date and timeslot information will still be saved.
  • After the type is switched, the number of received orders will not be accumulated, and all the available order quantities will be recalculated according to the new setup.
    For example: 
    You originally set a "Specified Delivery Date and Timeslot". The order limit for the morning timeslot on 11 May is set to 10 orders, the number of orders that have been received is 3, and the remaining number of orders that can be received is 7.
    After switching to "Specify Delivery Date Only", the 3 orders that have been received on 11 May will not be counted as the received order quantity, and the remaining order quantity will reset to 10 again. 
  • After switching the type and clicking "Update" to save, the previously set order limit and timeslot information will be cleared. A warning window will pop up when switching options.

2. Storefront customer checkout page

A. Specified Dates Only 

When checking out, customers need to select the specified delivery date. If there is no available order quantity left on that day, it will be grayed out and cannot be selected.

B. Specified Timeslots Only 

Customers can choose the set timeslots for arrival.

C. Specified Delivery Date and Timeslot  

During checking out, customers need to select the specified arrival date and timeslot. A date needs to be selected first in order to see whether there is an available order quantity left for that day. If there is no available order quantity left on that day, it will be grayed out and cannot be selected.

After selecting the date, the available timeslots will be listed, and the unavailable timeslots will be grayed out and unable to be selected.

3. Filter conditions

Step 1

Proceed to SHOPLINE Admin > [Order Management] > [Orders], and click Additional Filters

Step 2

In the "Additional Filters" drop-down menu, click the relevant filter conditions.

a. Specified Delivery Date

Specify the arrival date to directly filter a date range.

b. Specified Arrival Timeslot

When filtering the specified arrival timeslot, you need to select a delivery type before filtering for the timeslot.


*Note: Only existing timeslots can be filtered, deleted timeslots cannot be filtered out.

4. Editing orders

  1. Regardless of whether the "Set Delivery Date and Timeslot" main toggle is switched on, the selectable fields will be presented directly according to which type is set.

  2. During editing, it will not take into account whether "Specified Delivery Date/Timeslot" is required. All fields are optional.

  3. The editable fields are mainly based on the current setting of the delivery type:

    The fields are changed from more to few: The edit field only displays the fields of the existing settings, and will not display the information from the original order. The old data will be cleared after saving.
    The fields are changed from less to more: The edit field will display the existing settings. If the original order contains data, it will be saved.

    • Example 1: If the original order information has both "Specified Delivery Date" and "Specified Delivery Timeslot". When the delivery setting is changed to "Specified Date Only", the edited field will only display "Specified Delivery Date". Once the changes are saved, the "Specified Delivery Timeslot" data of the original order will be cleared.
    • Example 2: If the original order does not have a "Specified Delivery Date" or "Specified Delivery Timeslot". When the delivery setting is changed to "Specified Delivery Timeslot Only", the edit field will only display the "Specified Delivery Timeslot".
    • Example 3: If the original order data has "Specified Delivery Date". When the delivery setting is changed to "Specified Delivery Date and Timeslot", then the edit field will have the specified delivery date and timeslot. The data from the specified delivery date data will remain, but the timeslot display according to the new timeslot selected. 

  4. Once edited, you can view the changes in the "Order activities logs".

5. Notes

  1. This feature does not currently support puchase limit campaigns and express cart.

  2. If the delivery type of "Delivery Date and Timeslot" has been set previously:
    • When you click to edit the delivery settings, the setting for the order limit will remain at "Unlimited". Once the setup is complete, click Update to edit the expected delivery date and timeslot of the order.
    • If it has not been updated, the "Timeslot" cannot be filtered, but the "Estimated Delivery Date" can still be searched.
  3. If you delete a timeslot, even if you re-create an option for the same field, it will be equivalent to clearing the original record, and you will not be able to search for the data from the original timeslot on the order page.

  4. The following conditions will not deduct or retore the remaining order quantity:
    • Editing the estimated delivery date and timeslot for your order.
    • When the order status changes to "Cancelled".
