Inventory Transfer Request | POS App

If there is an inventory shortage in the store, staff can use "Inventory Transfer Request" to ask for inventory transfers from other stores.

Tips: The inventory transfer request is applicable to the following situations: 
requesting inventory transfer between stores,
and transferring products from warehouse for store restock.

In this article, you will find: 

 

1. Create inventory transfer request

Step 1

Tap Inventory Transfer in the left menu, then tap + to create an inventory transfer request.

Step 2

Select Original Store and the staff in charge of the transfer to proceed to the next step.

Step 3

  • Select the product(s) to be transferred in the "Select Products" column. The product(s) will appear in the "Selected Products" column on the right.
  • The product list shown in the request is the product and inventory quantity of the original store.
  • Tap on the selected products to enter the quantity to be transferred in the pop-up window. Tap OK to change the quantity.

If the transfer quantity is greater than the inventory quantity, the system will display an error notification.

Step 4

Tap Save at the top right and a window will pop up to confirm the transfer request. Tap OK to confirm the creation of the request. 

*Note: Once the transfer request is created, the quantity to be transferred cannot be modified on the POS app. Please go to SHOPLINE Admin > [Inventory Management] > [Inventory Transfer] to modify the request details.

A. View from the destination store

The transfer request will appear on the "Transfer in request" of the destination store and will be marked New.

B. View from the original store

The transfer request will also appear on the "Transfer out request" of the original store and will be marked New. Tap the three-dot icon at the top right to cancel or start the transfer. 

*Note: After the transfer request is created, the inventory of the original store will not be deducted immediately. The inventory will not be deducted until the "Start Transfer" is tapped. Once the transfer has started, the request transfer order cannot be edited, only cancellation of transfer is available.

In the drop-down menu of "All Types", options for Transfer in request and Transfer out request have been added to facilitate staff to check the transfer record.

2. [Transfer out request] Transfer products from the original store 

After creating the transfer request, tap on the three-dot icon at the top right and select Start Transfer. Tap OK in the pop-up window to confirm. The quantity for the inventory transfer will be deducted.

The transfer request will be marked Transferring. The same case applies to the view from the destination store.

3. [Transfer in request] Transfer products to destination store

Step 1. Receive products 

When products arrive at the destination store, the staff can use the POS app to do the counting. Resume to the corresponding transfer list, tap on the three-dot menu at the top right, and select Receive Products.

A. Partially receive transferred products

  • In the Receive Products window, enter the quantity arrived in the receive quantity column. When the actual receive quantity is less than the transfer quantity, the system will count it as partially arrive. 
  • After tapping Save, the transfer record will be updated to Partially Received.

B. All transferred products received

In the Receive Products window, tap All Received at the bottom to fill in the transfer quantity to the receive quantity. After tapping Save, the transfer record will be updated to Received

Note: The inventory of the destination store will not be updated before tapping "Complete Transfer". Staff can also modify the order quantity before completing the transfer. Once tap "Complete Transfer" and the status is updated to "In storage", the transfer order can no longer be modified.

 

Step 2. Complete Transfer

When the staff confirms that all the transferred products have arrived in the store, tap Complete Transfer in the menu.

In the "Confirm Transfer Completion" window, select the staff in charge for the confirmation. After that, the transfer process will be completed. The transferred product quantity will be added to the inventory of the destination store.

The transfer record status in the "Transfer In request" list will change from Partially Received to Partially in storage or Received to In storage.

4. How to cancel the transfer

A. Cancelling transfer from the original store

On the Inventory Transfer tab, select Cancel Transfer from the top-right menu. Confirm the action in the pop-up window to cancel the request.

B. Cancelling transfer from destination store

Select an inventory request, tap Cancel Transfer from the top-right menu. Confirm the action in the pop-up window to cancel the transfer.

Note: If the destination store has tapped "Complete Transfer" and all the goods have been stored in the warehouse, the transfer cannot be cancelled from the original store.
