In case of an out-of-stock situation, products in transfer, or setting products for preorder, staff at the store can use the POS app to create a reservation for the customer and manage preordered items and prepaid amounts.

The following describes the steps to create a preorder on the POS app.

1. Create a preorder

Add the product(s) to the cart. Tap the amount at the bottom to checkout.

A. When no deposit is required

Select the payment method(s), then enter the paid deposit.

If the preorder does not require a deposit, tap the payment method box and enter "0". Tap Preorder to complete.

  • After creating a preorder, a new order entry with the status Unpaid / Confirmed will appear in the Orders tab.
  • The deposit and the outstanding amount are shown under the Payments section.

B. When a partial deposit is required

If the customer pays part of the amount for a deposit, select the payment method(s), then tap the payment method box(es) and enter the paid amount (e.g.: $500), then tap Preorder

  • After creating the preorder, a new order entry with the status Partially Paid / Confirmed will appear in the Orders tab.
  • The paid deposit and the outstanding amount are shown under the Payments section.EN5.jpg

 

C. When a full deposit is required

When the product requires a full deposit, tap the payment method box(es), then tap Preorder

  • After creating the preorder, a new order entry with the status Paid / Confirmed will appear in the Orders tab.
  • The paid deposit and the outstanding amount ($0) are shown under the Payments section.EN7.jpg

*Note: The inventory from the preorder will be deducted as soon as the first pre-order is created, regardless of whether the preorder was settled. 

 

2. Checkout a preorder

If customers want to settle the outstanding amount to pick up their order, go to the Order tab, select the order to be settled, tap on the "..." button at the top right and select Pay off

*Tip: Expand the drop-down menu to view the preorders that are Unpaid, Partially Paid, and Paid.

A. Unpaid/partially paid preorders

Step 1

On the preorder checkout page, the Subtotal and Deposit Paid are shown on the left. The payable order amount is shown at the top right. Merchants can select payment method(s) then proceed to checkout.

In the example below, the order is settled by $800 cash.

To add another payment method, tap the + or Add Payment for another payment option. Then enter the corresponding paid amount in the box.

Step 2

  • After settling the preorder, the original order entry status will be updated Unpaid / Completed and a new order entry with the status Paid / Completed will appear in the Orders tab.
  • The paid total, paid deposit and the later paid outstanding amount are shown under the Payments section.EN13.jpg

 

B. Prepaid preorders

Step 1

On the checkout page of a paid preorder, the outstanding amount appears $0. Tap a payment method to proceed to the next step.

Step 2

Without editing the payment amount, tap Checkout

Step 3

After settling the preorder, the original order entry status will be updated Paid / Completed and a new order entry with the status Paid / Completed will appear in the Orders tab.

3. Cancel a preorder

Step 1

Go to the Order tab, select the order to be cancelled, tap on the "..." button at the top right and select Cancel Preorder

Step 2

Select the operator and enter the reason for the cancellation. Then tap OK.

A window showing "Order is cancelled" will pop up.

In the Orders tab, the original order entry status will be updated Paid / Cancelled and a new order entry with the status Refunded / Cancelled will be created.

*Note: The inventory for the preorder will be returned after the preorder cancellation.
