Transfer Inventory Between Stores | POS App

If there is an inventory shortage at the store, staff can contact staff members from other stores for an inventory transfer. Staff can also use the "Inventory Transfer" feature to transfer inventory directly to other stores. For more details on inventory transfer requests, you can refer to the following FAQ.

*Tips: The inventory transfer is applicable to the following 
situations: recalling products from all stores, and
recording products distribution to various stores.

In this article, you'll find:

 

1. Create transfer product list 

Step 1

Tap Inventory Transfer in the left menu, then tap + to create a transfer product list.

Step 2 

Select Destination Store and the staff in charge of the transfer to proceed to the next step.

*Note: The original store creates the inventory transfer; the destination store receives and processes the transfer.

Step 3

Select the product(s) to be transferred in the "Select Products" column. The product(s) will appear in the "Selected Products" column on the right.

Tap on the selected products to enter the quantity to be transferred in the pop-up window. Tap OK to change the quantity.

If the transfer quantity is greater than the inventory quantity, the system will display an error notification.

Step 4

Tap Save at the top right and a window will pop up to confirm the transfer. Tap OK to confirm the creation of the transfer list.

A. View from the original store 

The POS app will show the lists for transfer out, while the entry will be marked New

B. View from the destination store 

 A new transfer in list marked New will appear.

Note: In the drop-down menu of "All Types" on the upper left, options for Transfer Out and Transfer In have been added to facilitate staff to check the transfer record.

*Note: After the transfer list is created, the inventory of the original store will not be deducted immediately. The inventory will not be deducted until the "Start Transfer" is tapped. Before starting the transfer, tap "Edit Transfer" from the top-right menu to edit the quantity.

2. Execute inventory transfer

After creating the transfer product list, tap on the three-dot icon at the top right and select Start Transfer. Tap OK in the pop-up window to confirm. The quantity for the inventory transfer will be deducted.

The transfer list will be marked Transferring. The same case applies to the view from the destination store.

3. Receive transferred products

Step 1. Inventory in store

Only the original store can fill in the transfer list. In case there is a need for inventory transfer, please contact other stores where inventory is sufficient to create a transfer order. The destination store can view the transfer list after the original store creates one.

 

Step 2. Receive products

When products arrive at the destination store, the staff can use the POS app to do the counting. Resume to the corresponding transfer product list, tap on the three-dot menu at the top right and select Receive Products.

A. Products arrive partially

In the Receive Products window, enter the quantity arrived in the receive quantity column. When the actual receive quantity is less than the transfer quantity, the system will count it as partially arrive. After tapping Save, the transfer record will be updated to Partially Received

B. Products all arrive

In the Receive Products window, tap All Received at the bottom to fill in the transfer quantity to the receive quantity. After tapping Save, the transfer record will be updated to Received

*Note: The inventory of the destination store will not be updated before tapping "Complete Transfer". Staff can also modify the order quantity before completing the transfer. Once tap "Complete Transfer" and the status is updated to "In storage", the transfer order can no longer be modified.

 

Step 3. Complete transfer

When the staff confirms that all the transferred products have arrived in the store, tap Complete Transfer in the menu.

In the "Transfer by" window, select the staff in charge for the confirmation. After that, the transfer process will be completed. The transferred product quantity will be added to the existing inventory of the destination store.

The transfer record status in the "Transfer In" list will change from Partially Received to Partially in storage or Received to In storage.

4. Cancel transfer

A. From the destination store

On the Inventory Transfer tab, select Cancel Transfer from the top-right menu. Confirm the action in the pop-up window to cancel the transfer.

B. From the original store

Select Cancel Transfer from the top-right menu. Confirm the action in the pop-up window to cancel the transfer.

*Note: If the destination store has tapped "Complete Transfer" and all the goods have been stored in the warehouse, the transfer cannot be cancelled from the original store.
