If you execute inventory transfer on the POS app and the SHOPLINE Admin, you can only select the products in each store. If there is insufficient inventory in each store, you can fill in the transfer form to schedule the inventory transfer.
Tips: The inventory transfer list is applicable to the following
situations: recalling all stock back to the warehouse, and
creating order records in Admin for product distribution to various stores.

1. Create an inventory transfer list
Step 1
In the SHOPLINE Admin, go to [Inventory Management] > [Inventory Transfer]. Click Create to make a new inventory transfer list.
Select the original store and destination store.
*Note: The original store and the destination store must be different. Stores cannot be modified after it is confirmed.
Step 2
Select the staff in charge of the transfer from the original store, the staff in charge of receiving the product at the destination store, delivery date, and fill in the note. "Transferred by (Original Store)" is a required field for the transfer.
Click Select Transfer Products to enter the window to select transfer products.
Check the products to be transferred, or search the products by product name / SKU / Barcode. Staff can use "All Product Category" and "All Suppliers" to filter out products.
Click View Selected Products at the bottom left to view products checked for the transfer. Click Select at the bottom right to confirm.
Step 3
After selecting the products, enter the transfer quantity. To modify or delete products, click Select Transfer Products again to reselect products. Click the Rubbish Bin icon on the right to remove the selected product. Click Create Transfer to complete.
2. Transfer out / in products
Step 1. Transfer out
The status of the transfer will appear "New" while the arrival status will appear "Not Received". In this condition, the inventory has not been moved yet. Click Edit to modify the content of the transfer, modifications will be recorded in the transfer activities logs.
Click Start Transferring and a window will pop up to confirm the action. Click Start Transferring in the window and the inventory will be deducted from the original store but yet to add to the destination store. The transfer status will be updated as "Transferring".
Step 2. Destination store receives product
A. Partially received: The receive quantity is less than the transfer quantity.
After the transfer has started, the page interface will switch to the view from the destination store. Click Receive Product to open the "receive product" pop-up window.
Fill in the number of arrivals in "Receive quantity", and then click Receive Product at the bottom right.
The arrival status will be updated as "Partially Received".
B. All received: Receive quantity = transfer quantity
After the transfer is started, the page interface will switch to the view from the destination store. Click Receive Product to open the "receive product" pop-up window. Click Mark All Received and then click Receive Product.
The arrival status will be updated as "Received".
Step 3. Complete transfer
After confirming the quantity received, click Complete Transfer to update the quantity to the inventory of the destination store.
In the reminder pop-up window, click Complete Transfer to complete the transfer.
The transfer status will be updated as "In Storage".
*Note:
- The transfer product list cannot be modified after the transfer is complete. However, the staff in charge of the transfer, delivery date, and note can be edited.
- Once the original store has created a transfer list, the inventory quantity will be deducted once the staff clicks "Start Transfer". The quantity will be added to the destination store only when the staff confirms "Complete Transfer". The quantity transferred is kept invisible (on hold) during the transferring process.
3. Cancel/delete inventory transfer
On the transfer information page, click on the drop-down arrow next to Export and select "Cancel" or "Delete transfer".
A. Cancellation
Select Cancel Transfer in the drop-down list. Confirm the action by clicking Cancel Transfer in red. The inventory will be restored to the warehouse and the transfer status will be updated as "Cancelled".
*Note: Only NEW and TRANSFERRING transfer orders can be cancelled. IN STORAGE transfer can only be deleted.
B. Deletion
On the transfer information page, click on the drop-down menu next to Export and select Delete. Confirm the action by clicking Delete in red. The changed inventory will not be restored.
4. Export inventory transfer list
A. Export multiple transfer records
On the inventory transfer page, click Export at the top right.
Select the content and range to be exported.
- Export Content: Select the Inventory Transfer List or Inventory Transfer List Detail.
- Select Range: Select the current page or customize a date range.
*Note: The maximum customized date range for the Inventory Transfer List and Inventory Transfer List Detail are 100 days and 31 days respectively.
B. Export single transfer record
Select a particular transfer record and click Export to download the transfer record.

5. Filter search transfer order
On the inventory transfer page, you can search the record using transfer number, data range, original store, destination store, transfer status and arrival status.
