*This feature only supports HKD stores/Hong Kong-based merchants.
Merchants using the SHOPLINE Payments service can easily confirm the status of order transactions directly through the interface.
1. Go to account management page
The SHOPLINE Payments account has an individual management interface. In the SHOPLINE Admin, you can access the page via the following 2 routes:
- Click the Hello, (Your name) at the top right corner, then click SHOPLINE Payments Account.
- On the left sidebar, go to [Settings] > [Payment Settings]. Click View SHOPLINE Payments account.
2. Top navigation menu
i. Download center

Download center: On the account management page, all downloadable content (e.g., consolidated statements and transaction records) will be displayed in the download center. You can search, filter, view, and re-download as needed.

When a red superscript number appears on the download center icon, it indicates that there are files pending download. Click the icon to enter the download center and locate the corresponding files for download.
ii. Back to admin
Click Back to admin to return to the SHOPLINE Admin from the current page of SHOPLINE Payments account management page.
iii. Switch to old version
If you are not yet fully familiar with the new version interface, there is a "Switch to old ver." feature. By clicking it, you can temporarily return to the original account management interface. *Please note that this feature will be disabled after a certain period (the exact date will be further announced). After that, switching to the old version will no longer be possible. To ensure a smooth experience, we recommend getting familiar with the new version soon.
3. Side navigation menu
The SHOPLINE account management page includes the following tabs:
- Overview: Account balance, Account information, Transaction overview, Transaction overview, Recent payouts, etc.
- Payouts: Payout records, Payout account management
- Transactions: Transaction records
- Report management: Export of the Consolidated statement (monthly) and Transaction report
- Merchant management: Statement, Account setup
i. Overview
The following is the introduction to sections in the "Overview" tab.
A. Account balance
In the "Account balance" section, you can view the balance for "Account balance", "Reserved funds", and "Next automatic payout". Hover your cursor above the icon to see detailed descriptions.

Account balance:
Orders paid via SHOPLINE Payments will have their transaction amounts, minus handling fees, accumulated in the "Account balance". This balance excludes "Next automatic payout" and amounts from orders processed through third-party services. -
Rules for available refundable balance:
Refunds are drawn from your SHOPLINE Payments balance, excluding the reserved funds. If your available balance is insufficient to cover the refund, please top up your balance before initiating the refund.

Reserved funds (Reserve balance)
Total reserve = Rolling reserve + Fixed reserve

Rolling reserve:
A prorated reserve is collected for each order and will be transferred to your account balance upon completion of the holding period. The holding period and collection rate may vary in real time depending on your store's risk level. -
Fixed reserve (if required):
SHOPLINE Payments may collect a fixed reserve at a certain rate based on the store's risk level.

Rolling reserve:

View details: Click View details to enter the "Reserve records" page. On this page, you can search for the rolling reserve, proportion, and other details.
*Note: Frozen/ reserve funds are not available for manual refunds or refunds for chargeback. Please manage your balance carefully to avoid refund failure.
- Top-up
If the account balance is insufficient for refunds, you can top up the account balance through a bank transfer.
Step 1. In the "Account balance" section, click Top-up.
Step 2. Check the reason for the top-up, enter the amount to be added, and click Next.
Step 3. Make an offline transfer according to the bank information provided in the pop-up window. After the transfer is complete, click Upload proof of bank transfer.
Step 4. Enter the transfer amount and upload the proof of bank transfer. After confirming you have the correct information, click Submit.
B. Transaction overview
In the "Transaction overview" section, you can filter specific dates or durations to view the quantity and amount of the orders or refund transactions.
C. Recent payouts
The "Recent payouts" section displays the recently incurred payout records for merchants to quickly view the latest payouts. Click All payouts and you will be directed to the [Payouts] tab, where you can filter all records you wish to check.
D. Account information
The "Account information" section displays the information related the your account.
- Account name: The name you provided during the SHOPLINE Payments KYC authentication process.
- SHOPLINE Payments account number: Your unique ID in SHOPLINE Payments. Whenever there's an issue, you can provide this ID for us for troubleshooting.
- Account verification status: Your SHOPLINE Payments KYC status. You will be able to perform fund-related actions including pay-ins and payouts once you are verified.
ii. Payouts
A. Payout records
Go to [Payouts]. On the "Payout records" page, you can view all your payout records. You can search by order numbers, or filter dates and amount ranges.
Click View to see the details of the record.
B. Payout bank account
Go to [Payouts]. On the "Payout records" page, click Manage payout account and enter the "Payout bank account" page. You can manage your bank accounts for payouts here.

Add account:
Click Add account. Enter new bank account information and upload a copy of the cover of your passbook.
It will take approximately 2 business days for verification upon the submission of the account change. Once the information is updated, you will receive a confirmation email indicating the approval of your application. You can then change your default payout bank account.

Edit default account: Once you have received the confirmation email, you can return to this page and click Edit default account. Select a new account as the default payout account, and click Save.
⚠️ Notice: You must use a verified payout account for the payout feature. If your account verification is rejected, you will receive a notification email. Please proceed to the Admin to check the reasons for rejection and resubmit the correct information.
iii. Transactions
On the "Transactions" page, you can view all the transaction records through SHOPLINE Payments, including orders, refunds, and disputes. You can also use the fields below to filter out specified transaction records.
- Transaction number/ order number/ last 4 digits of card number/ terminal serial number
- Transaction period
- Gross amount range
- Transaction status
- Payment method
- Transaction store
Click View to enter the "Transaction details" page, where you can view the detailed information about this transaction.
iv. Report management
On the "Report management" page, you can export the following reports.
- Consolidated statement (monthly)
- Transaction report
A. Consolidated statement (monthly)
The consolidated statement includes the end-of-month account balance and all transaction details. The statement is available on the first day of every month.
Click Export. In the pop-up window, select the date range and click Confirm. You can view the export progress and download the file in the Download center.
*Note: You can either use the automatically generated file name or customize your own to suit your management needs.
B. Transaction report
The transaction report includes transaction details. A single export can cover a maximum of 92 days of records.
Click Export. In the pop-up window, select the date range and click Confirm. You can view the export progress and download the file in the Download center.

v. Merchant management
A. Statement
Go to [Merchant management] > [Statement]. You can view all the inward/ outward transaction records in the SHOPLINE Payments account. You can also use the fields below to filter out specified transaction records.
A. Past week/ month/ year
B. Specified period
C. Transaction number
D. Gross amount range
B. Account setup
Go to [Merchant management] > [Account setup]. You can set your contact emails and manage the domains.
